How to write clearly in English

Clear writing is not a talent. It is a short list of habits, and every one of them can be practised.

Clear writing is writing the reader understands the first time, without going back.

That is the whole test. Not whether it sounds clever, not whether it uses impressive words. Whether the reader gets it on the first pass.

1. Put the main idea first

Readers decide within one sentence whether to keep going. Do not build up to your point. Lead with it, then explain.

After considering various options and reviewing the feedback we received from several members of the team, we have decided to postpone the launch.

We are postponing the launch. Here is why.

2. Cut the words that carry nothing

Some phrases take five words to do the job of one. They are not wrong, they are just padding.

3. Say who did what

When you hide the person doing the action, the sentence goes vague. This is called the passive voice.

The report was reviewed and changes were requested.

Priya reviewed the report and asked for changes.

The passive is not banned. It is useful when the doer genuinely does not matter: "The road was built in 1890." Just never use it to avoid saying who is responsible.

4. Turn nouns back into verbs

English lets you turn an action into a thing: decide becomes decision. Doing that too often makes writing heavy.

We will conduct an investigation into the delay.

We will investigate the delay.

Please provide an explanation of the change.

Please explain the change.

5. Break up long sentences

There is no legal limit, but a sentence over about 25 words usually holds two ideas that would be clearer apart. Read it aloud. If you run out of breath, split it.

6. Read it aloud before you send it

This one costs nothing and catches more than any tool. Your ear notices a clumsy sentence that your eye slides straight past. If you stumble while reading, the reader will stumble too.

A grammar checker fixes mechanical things: endings, agreement, spelling. It has nothing useful to say about whether your argument holds up, whether the paragraph belongs where you put it, or whether the tone suits the reader.
